ERP implementation cost calculator: first-year and 5-year cost
A 50-person company on NetSuite pays about $73,408 to $164,820 in the first year and $282,005 to $680,601 over five years for licences and implementation, on the ranges NetSuite consultancy BrokenRubik publishes. Pick your ERP and company size to start from published prices, or type in your own quote, and the calculator adds the lines quotes leave out: support, yearly price rises, migration, integrations, training and your own team’s time. It shows the first-year, 3-year and 5-year cost, the cost per user per month, a year-by-year table, ROI and payback, and the labor line your people still carry after go-live.

How to calculate ERP implementation cost
Add up five kinds of cost over the years you plan to run the system, and keep a low and a high case, because almost every ERP is sold by quote and the published ranges are wide:
Licences or subscription. Per user per month (NetSuite, Epicor, SAP Business One cloud, Business Central, Infor), a perpetual licence paid once (SAP Business One, Epicor on-premises), or a flat yearly price set by apps and volume (Acumatica, Sage Intacct).
Support or maintenance. About 18% to 20% of a perpetual licence every year; on a subscription, basic support is usually included and premium support is extra.
Implementation. The partner’s fee for setup, configuration, data load and training. Partners publish it in dollars or as a multiple of the first-year licence.
One-time extras. Data migration, integrations, customization and training, when the implementation quote leaves them out.
Your own people’s time. The hours your staff spend in workshops, testing and cleanup during the project, and the labor line after go-live.
The calculator’s formula for each year: licence and support, raised by the yearly price rise from year 2, plus other yearly costs, plus, in year 1 only, implementation, the one-time extras and any perpetual licence. That sum is the headline, the same lines the pricing guides add up. Your team’s project time and the labor line are shown as separate lines under it and join it in the all-in total. Cost per user per month is the headline divided by all users and by the months in the horizon.

What each preset starts from
Every preset copies the assumptions of the worked example in one of our pricing guides, so the calculator and the guide give the same numbers before you add anything. That is also why the user counts differ from preset to preset: each one is the count its guide used (15 users for a 50-person NetSuite company, 25 for Prophet 21). Where the price does not depend on seats (Acumatica, Sage Intacct at 200 people, Sage X3), we assume a user count only to work out the cost per user. Change the users to your own.

Low to high case, licences and implementation only. Users, modules and sources are in the guide each preset copies.
The guides behind the presets: NetSuite pricing, Epicor pricing, Acumatica pricing, SAP Business One pricing, Sage Intacct pricing, Sage 100 and X3 pricing, Business Central pricing, Infor pricing and job shop ERP.
The ranges are wide because the sources are. Treat the low case as what a careful buyer with a simple rollout pays and the high case as a complex one, then replace both with the numbers on your own quote.
Implementation: dollars or a multiple of the licence
Partners quote implementation two ways, and the calculator takes both. Sage Intacct partners publish a multiple: RKL eSolutions says $1.00 to $1.75 of implementation for every $1.00 of yearly subscription, and Rand Group 125% to 200% of the first year. NetSuite consultancy BrokenRubik’s rule of thumb is 1 to 2 times the annual licence for small businesses and 0.67 to 1.0 times in mid-market. Other partners publish dollars by scope: Encore puts a Business Central project with inventory and MRP at $25,000 to $130,000, and ERP Research puts Infor at $50,000 to $200,000 for 20 to 50 users and $200,000 to $800,000 for 50 to 200. Switch the calculator to “x first-year licence” and it converts your numbers both ways, so the total stays the same to within a few dollars of rounding.
Renewal increases: the line that keeps growing
A yearly price rise compounds. On the NetSuite 200-person preset, the same starting licence costs $589,951 over five years at a 3% yearly rise and $749,213 at 15%: a difference of $159,262. BrokenRubik calls a 3% to 5% renewal cap “the highest-leverage term you can negotiate”. Sage partner PKF Smith Cooper reported Sage Intacct rate plan rises of about 9% from January 2024 and 7% from January 2025 in the UK, and Microsoft raised Business Central Essentials from $70 to $80 per user per month from November 2025. Put the cap you negotiated in the low case and no cap in the high case.
ERP ROI and payback
Enter the yearly savings you expect from the new ERP (lower inventory, fewer errors, hours saved, a retired system) and the months to go-live. ROI is the savings from go-live to the end of the horizon, minus the ERP total, divided by the ERP total. Payback is the first month the savings to date cover the cost to date, with one-time costs paid up front and licences paid month by month. For example, on the NetSuite 50-person preset with the calculator’s defaults, $100,000 a year of savings from month 7 gives a 5-year ROI of 47% in the low case, with payback in month 24 (2 years), and -36% in the high case, which does not pay back within five years. With no savings entered, the calculator shows the yearly savings the ERP needs just to break even.
The labor line: the cost an ERP leaves with your people
An ERP records orders, receipts and supplier dates; it does not read the customer’s emailed PO, chase the supplier who has not confirmed, or answer the customer asking where their order is. Those hours stay on the payroll after go-live. The calculator prices them as two lines, at the same rates as our ERP cost guide. Order entry and where-is-my-order at $33.44 an hour: the May 2025 median wage for customer service representatives in wholesale trade was $23.41 an hour, and wages are 70.0% of private-industry compensation, so $23.41 / 0.70 = $33.44. Supplier chasing at $53.37: buyers and purchasing agents had a median wage of $77,710, or $37.36 an hour over 2,080 hours, and $37.36 / 0.70 = $53.37. The example on load, 5 hours a day of the first and 2 of the second for 250 days, is $68,485 a year, or $342,425 over five years: 33% to 53% of the all-in 5-year cost on the NetSuite 50-person preset. Replace the hours with your own.
Morsa, which publishes this calculator, is the AI COO for operations at manufacturers and distributors: an AI agent that does daily operations work inside the ERP, email and phone a team already uses. It enters those orders, chases those suppliers and answers those customers on top of the ERP you run, and people approve what goes out.
Frequently asked questions
How much does ERP implementation cost?
It depends on the system and the scope. Published ranges run from $5,000 to $30,000 for Sage 100, through $25,000 to $130,000 for a Business Central distributor with inventory and MRP, to $200,000 to $800,000 for Infor CloudSuite at 50 to 200 users. As a rule of thumb, partners quote 0.67 to 2 times the yearly licence.
How do you calculate the total cost of ownership of an ERP?
Add the licences or subscription for every year, support or maintenance, the yearly price rises, implementation, one-time extras such as migration and integrations, and your own staff’s project time. Keep a low and a high case, and add the hours your people still spend on manual work after go-live if you want the all-in cost.
How much does ERP cost per user per month?
List subscriptions run from $80 (Business Central Essentials) to about $300 (Infor SyteLine, high end) per user per month. All-in, with implementation spread over five years, the NetSuite 50-person preset comes to $313 to $756 per user per month.
How much does ERP cost for a 50-person company?
On the presets, the first year runs from $16,280 to $41,280 for Sage 100 (a floor) and $42,940 to $147,940 for Business Central Essentials to $73,408 to $164,820 for NetSuite and $148,000 to $490,000 for Epicor Kinetic, licences and implementation only.
Is a cloud ERP cheaper than a perpetual licence?
Not always on paper. On the SAP Business One 50-person presets, five years cost $148,600 to $223,600 in the cloud and $87,178 to $162,178 on a perpetual licence with 18% maintenance, but the perpetual figure leaves out the server, database, backups and IT time the cloud price includes.
What costs do ERP quotes leave out?
Most often: renewal increases, premium support, integrations and connector fees, data migration overruns, customization upkeep, sandbox environments, and your own staff’s time during the project. The labor that stays manual after go-live is never in the quote.
How long does ERP implementation take?
Encore, a Business Central partner, publishes 2 to 6 months for finance only, 4 to 12 months with inventory and MRP, and 10 to 16 months with manufacturing. Set the months to go-live in the calculator; savings start after it.
What is a good ROI for an ERP?
There is no standard figure that holds across companies, so the calculator works from your own numbers: it shows the yearly savings the ERP needs to break even over your horizon, then the ROI and payback month for the savings you expect.
