Who to chase today: AR aging report analyzer
An accounts receivable aging report lists every unpaid invoice by how long it has been open, usually in buckets of current, 1 to 30, 31 to 60, 61 to 90 and over 90 days. Paste or upload yours from QuickBooks, NetSuite, Business Central, Sage, Epicor or any ERP, and this tool turns it into today’s call list: customers ranked by dollars times days late, the right reminder stage for each, credit hold suggestions, and promise-to-pay dates that take a customer off the list until the date passes. Morsa runs this list for you every morning straight from your ERP.

How the list is ranked
Each past-due invoice counts as its open balance times its days past due: dollar-days. A customer’s score is the sum. $9,875 at 51 days (503,625 dollar-days) ranks above $18,450 at 3 days (55,350), because the first is cash you have been lending for seven weeks. Credit memos and unapplied payments are netted out first, so a customer who is mostly covered drops down. Ties go to the larger balance.
| Customer | Past due | Oldest | Dollar-days | Rank |
|---|---|---|---|---|
| Arden Ag Equipment | $9,875.00 | 51 days | 503,625 | 1 |
| Hollis Fabrication | $6,738.50 | 38 days | 219,469 | 2 |
| Cedar Valley Truck Parts | $2,000.00 after a $240 credit | 83 days | 166,000 | 3 |
| Talbot Truck Bodies | $18,450.00 | 3 days | 55,350 | 4 |
| Lakeway Trailer Supply | $612.40 | 11 days | 6,736 | 5 |
The tool’s sample report; its dates move with today, so these numbers hold on any day. Hartwell Equipment’s invoice is not yet due, so it is not on the list.
What your aging export needs
Invoice detail (best): one row per open invoice with Customer, Invoice number, Due date and Open balance. A Days past due column works instead of the due date; an Invoice date works too, with your payment terms.
Aging summary: one row per customer with Current, 1 - 30, 31 - 60, 61 - 90 and 91 and over columns. Without dates, each bucket counts at its midpoint (15, 45, 75 and 105 days), and the list says so.
Title rows above the header and a Total row at the bottom are skipped. Negative balances are treated as credits.
| System | Report to export | Shape |
|---|---|---|
| QuickBooks Online | A/R Aging Detail (or Summary), export to Excel, save as CSV | Detail or summary |
| NetSuite | A/R Aging Detail saved search or report, export CSV | Detail |
| Business Central | Aged Accounts Receivable, or Customer Ledger Entries filtered to open, open in Excel | Detail |
| Sage 100 / Intacct | AR Aging report, export CSV | Detail or summary |
| Epicor, Prophet 21, Eclipse | Open AR or aged trial balance, export CSV | Detail |
Report names vary by version; any export with the columns above works.
Reading an AR aging report
Current: not yet due. Nothing to chase, but watch large balances from slow payers.
1 to 30 days: usually timing or a missed approval. A friendly reminder fixes most of it.
31 to 60 days: a pattern or a dispute. Call, ask what is holding it, and set a pay-by date.
61 to 90 days: real risk. Credit hold on new orders and a final demand.
Over 90 days: the odds of collecting fall quickly. Decide on a referral or a write-off reserve.
Two numbers worth tracking from the same report: the share of receivables over 60 days, and days sales outstanding (DSO), which is receivables divided by sales times the days in the period. Both get better when the oldest dollar-days get chased first.
Promise to pay
When a customer gives a date, enter it on their row. They leave today’s list until that date. If the date passes and the report still shows the balance, they return at the top marked as a broken promise, which is the call to make first. Dates and notes are kept only in this browser; the CSV download carries them for your team.
The modern way: let Morsa do the chasing
Most distributors and manufacturers still collect the old way: someone exports the aging on Monday, sorts it in a spreadsheet, writes a dozen emails, and calls the big ones when there is time. The ones that get chased are the ones somebody remembered.
Morsa does that job every morning. It reads the open invoices straight from your ERP, picks who to chase and at which stage, and sends each reminder from your AR person’s own mailbox, so a customer hears from Nina in accounts receivable, not from a no-reply address. When Hollis Fabrication replies that they will pay Friday, Morsa logs it as a promise to pay, sets the reminder, and asks the owner whether to release their credit hold once the money lands. Disputes (a short shipment, an old price) go to the person who can fix them, with the invoice and the PO attached. Your people approve; Morsa does the typing and the remembering.
Frequently asked questions
What is an accounts receivable aging report?
A list of every unpaid customer invoice grouped by how long it has been outstanding, usually current, 1 to 30, 31 to 60, 61 to 90 and over 90 days, with a total per customer.
Who should I call first on my aging report?
The customers holding the most dollar-days: the biggest balances that have been late the longest. Broken promises to pay come before everything else.
When should a customer go on credit hold?
Many distributors hold new orders once anything is 45 to 60 days past due, or when the balance passes the credit limit. The tool suggests a hold at 45 days, the same point its credit hold notice goes out; your credit policy decides.
Does this work with a summary aging report?
Yes. It reads the bucket columns and counts each bucket at its midpoint, and marks those days as estimates. Invoice detail gives exact days.
Is my aging report uploaded anywhere?
No. The file is read in your browser and never leaves your device.
